General Description:
The Administrative Assistant assumes a pivotal role in providing essential administrative support to the Chief Nursing Officer and assisting with the operations of the Nursing Administration Department office.
With attention to detail, the assistant skillfully schedules and coordinates appointments and meetings, ensures the organization of files and equipment, and adeptly prepares minutes, reports, and correspondence.
Essential Functions:
Confidentiality: Handling sensitive information with discretion and maintaining a high level of confidentiality within the nursing departments.
Communication: Handling communication on behalf of the CNO, including screening calls, responding to emails, and drafting correspondence.
The assistant may also be responsible for disseminating important information within the nursing department.
Scheduling and Calendar Management: Organizing and managing the CNO's schedule, including appointments, meetings, and events.
This may involve coordinating with other departments and external parties.
Documentation and Record Keeping: Maintaining and organizing records, reports, and documents related to the nursing departments.
Meeting Coordination: Assisting in the planning and coordination of meetings, including preparing agendas, taking minutes, and following up on action items.
This could involve meetings with other hospital departments, nursing staff, or external stakeholders.
Project Assistance: Providing support for special projects or initiatives within the nursing departments.
This could involve research, data collection, organization, and coordination of project activities.
Liaison Role: Serving as a liaison between Nursing Administration and other hospital departments, staff, and external organizations.
This involves effective communication and collaboration to facilitate smooth operations.
Staffing: Involves assisting Nursing Departments with daily staffing and scheduling needs, emphasizing the importance of ensuring adequate staffing levels.
Supplies and Stocking: Focuses on managing the par level of stock and supplies, including placing orders as needed to ensure the availability of necessary resources.
Education & Training Requirements:
High School Diploma or GED required
Minimum 2 years clerical or secretarial experience
Proficient in typing and Microsoft Office computer skills
Strong interpersonal skills
Knowledge of medical terminology
Detail-oriented with excellent organizational skills
